1. Who we are
Fareast Ventures provides executive chauffeur, private travel,
event transport, group movement, private air handoff services,
booking support, and complaints support. For website booking
requests and service concerns, Fareast Ventures is the organization
responsible for deciding how client information is used.

2. Personal information we collect
We collect only the information needed to respond to and coordinate a transport request:
- Contact details, including name, email address, and phone number.
- Booking details, including service type, pickup date, pickup time, pickup location, destination, passenger count, luggage count, and special requests.
- Complaint details, including category, booking reference, complaint subject, description of what happened, preferred resolution, and follow-up records.
- Tracking reference details, including a public reference number and a private token used to display limited request status.
- Website technical details, including the page URL, IP address, browser or device information, and basic server logs used for security and service reliability.
- Communications sent by phone, email, WhatsApp, or other channels chosen by the client.
Please do not include unnecessary sensitive information in the special
requests field. If health, accessibility, security, or protocol details
are needed for a journey, we use them only to support that request.
3. How and why we use personal information
We use personal information to:
- Respond to booking enquiries and prepare travel arrangements.
- Respond to complaints and service recovery requests.
- Coordinate vehicles, chauffeurs, routes, passenger lists, luggage, and timing.
- Send booking summaries through email or WhatsApp when the client chooses those channels.
- Send complaint alerts and operational updates to the relevant Fareast Ventures team inbox.
- Maintain records of requests, quotes, confirmations, support, and disputes.
- Protect the website, detect misuse, and improve service reliability.
- Comply with legal, tax, accounting, regulatory, or law-enforcement obligations where applicable.
Depending on the context, our lawful reasons may include taking steps
before entering into a service arrangement, performing a service
arrangement, legitimate business interests, consent, and compliance
with legal obligations.
4. When we share personal information
We do not sell personal information. We may share information only where necessary with:
- Vehicle providers, chauffeurs, dispatch teams, event teams, aviation partners, or travel support partners involved in the requested service.
- Technology providers used to run the website, including Vercel for hosting, Supabase for booking and complaint record storage, Resend for transactional website notifications, Zoho Mail for team inboxes, email providers, and WhatsApp communication services.
- Professional advisers, insurers, authorities, courts, or regulators where required by law or necessary to protect rights and safety.
Some technology or communication providers may process information
outside Kenya or outside the country where a client is located. Where
international transfer rules apply, we aim to use appropriate safeguards,
contractual protections, consent where needed, or other lawful transfer
mechanisms.
5. Storage and retention
Website booking records, complaint records, and tracking reference
records are stored in a secure request database and may also be
present in team email or WhatsApp threads when those channels are
used. We keep personal information only as long as needed for the
booking purpose, client follow-up, service records, legal obligations,
accounting, dispute handling, and website security.
As a working standard, ordinary booking enquiries should normally be
reviewed for deletion or anonymisation within 24 months after the last
client interaction, unless a longer period is needed by law, contract,
accounting, tax, insurance, safety, or dispute requirements.
6. Security
We use practical security measures to protect personal information,
including server-side booking storage, restricted database access,
environment-protected keys, transport encryption where provided by
hosting and communication services, and access limited to people who
need the information for the service.
No website, email system, or messaging platform can be guaranteed
completely secure. Clients should avoid sending unnecessary sensitive
details through the website form.
7. Cookies and analytics
At this stage, the website does not use advertising cookies, retargeting
pixels, or third-party analytics scripts. Hosting and security providers
may still process basic technical logs such as IP address, browser
details, timestamps, and requested URLs to deliver and protect the site.
8. Your privacy rights
Depending on where you are located and which law applies, you may have
rights to be informed, access your personal information, correct it,
object to certain processing, request deletion, request restriction,
request portability, withdraw consent, and complain to a regulator.
Kenya-based data subjects may contact the Office of the Data Protection Commissioner
if they believe their rights have been infringed. EU or
other international visitors may also have rights under the privacy law
that applies in their location.
9. Children and passenger information
The website is intended for adults making transport arrangements. If a
booking includes children as passengers, the person making the booking
should have authority to provide any necessary passenger information.
10. Updates to this policy
We may update this policy when services, website features, legal
requirements, or technology providers change. The effective date above
shows when this version was last prepared.
